Position Summary:

This position is located in a Field Office within Enforcement, Mine Safety and Health Administration (MSHA), Department of Labor (DOL).  The incumbent of this position provides program and administrative support, as well as liaison duties in direct support of the supervisor and a cadre of Mine Safety and Health Inspectors.

Key Responsibilities:

  • Receives, reviews and distributes incoming correspondence. Responds to those which do not require the attention of the supervisor or staff. Reviews outgoing correspondence for compliance with policy, procedure, format, grammar, punctuation, etc.
  • Maintains records systems for the work unit in support of Division operations. Tracks citations and orders for assessment purposes to ensure submission to the District Office within established time frames.
  • Performs a variety of administrative functions, such as: posts and maintains time and attendance records, prepares personnel documents, prepares requisitions and distributes supplies, prepares mileage reports, tracks awards, etc.
  • Records and tracks mine plan approval processing. Prepares plan approval and rejection letters. Uploads and downloads daily inspection activities.
  • Receives calls and visitors. Ascertains the nature of the call/visit and determines those which she or he can personally handle or referring others to the appropriate staff.
  • Researches, gathers and assembles information for use by field office staff in special projects, evaluations, conferences, meetings and FOIA requests.
  • Makes travel arrangements for employees of the work unit. Provides itinerary, secures travel and hotel reservations, and prepares travel vouchers upon completion of travel.

Required Education & Experience:

  • Experience maintaining files and/or filing systems.
  • Experience working with office automation software in order to retrieve, manipulate or modify data from different sources to generate reports, documentation or information used by others.
  • Experience in preparing correspondence and reports from rough drafts into proper format.
  • Requires a probationary period if the requirement has not been met.
  • Appointment to this position may require a background investigation.
  • Must be at least 16 years old and a U.S. Citizen.
  • Candidate required to obtain the necessary security/investigation level.
  • Experience maintaining files and/or filing systems;
  • Experience reviewing documents for conformance with policy, format, grammatical accuracy.
  • Experience operating standard office equipment such as printers, photocopiers, facsimile machines, multi-line office telephone systems.
  • Experience receiving and routing correspondence;
  • Experience in transcribing correspondence and reports from rough drafts into proper format.
  • Experience reviewing documents for conformance with policy, format, grammatical accuracy;
