Position Summary:
Here at Serco, we are looking for an experienced Administrator to join our Allocations department at HMP & YOI Doncaster. Reporting directly to the Head of Learning & Skills, you will provide administration support in all areas of the Allocations Department and maintain allocations of Offenders, into activities. You will also collect data to ensure an effective and efficient delivery of the provision is always provided, and that all data is available to management for inspections and audit purposes.
Key Responsibilities:
As our new Admin Support Officer, you will work as part of a team and act as the Allocations hub for communication between departments, in an efficient and professional manner. You will be required to engage in regular communication with departments, ensuring the maintenance of accurate employment and, be a single point of contact for allocations. As part of your role, you will ensure that information and data, processing, storage, and transmission of systems and processes are managed appropriately and in guidance with data protection and Serco policies. Other key duties include:
- Ensuring a high level of security and confidentiality is maintained in relation to staff and prisoners, and that all information, both written and verbal, is treated confidentially
- Engaging in any ongoing training and role development required.
- Ensuring maintenance of the prisoner employment deliverables and escalate any shortfalls against target to line management
- Understanding all relevant policies and procedures and provide help and support in all areas of the function as required by your line manager
Required Education & Experience:
This role is a fantastic opportunity in a fast-paced environment for someone who is confident in their ability to work alone using their own initiative, as well as maintaining good working relationships with colleagues in their team. Clear communication skills are key – both written & oral as you will produce written work to a high standard that will be used when liaising with key stakeholders. You will be able to reflect on your own performance and continuously strive for improvement.
Ideally you will have demonstrable knowledge of prisoner issues and previous experience working in a Custodial environment however this is not essential. IT literacy is one of the most important aspects of this role so advanced levels in Microsoft Word & Excel will be required to enable you to complete your role competently. You must also have a recognised qualification in Maths & English and be willing to undertake work area specific training.
