Position Summary:
Provides administrative support to Technical Operations Leadership and their Teams throughout the Department.
Key Responsibilities:
- Provides support for all aspects of local Airport Movement Training including but not limited to Initial and renewal classes
- Open sort and respond to mail
- Operate PC equipment, utilizing word processing and spread sheet software
- Additional duties for Base Station Tech Ops Administrators
- Along with the Station Culture Committee, Plan, Organize and Execute all Station Cultural activities
- Responsible for preparing and submitting Employee changes such as promotions, terminations and job descriptions for respective areas
- Operate copy machine, fax machine and other standard office equipment
- Works on various Department projects as assigned by Departmental Leadership
- Plans and organizes events and prioritizes workflow to ensure efficient operation of the office
- Compiles data and prepare reports
- Provides support for all aspects of local SIDA Badging, including but not limited to Initial badging, renewal, and International seals
- Provides support for all aspects of AMT Training – tracks upcoming training, notifies AMTs and arranges for flights in One Res
- Maintains calendars, makes travel arrangements and handles travel reimbursements
- May perform other job duties as directed by Employee’s Leaders
- Manages the overall operation of the office and provides support to Tech Ops Leadership by setting appointments, arranging meetings.
- Purchasing all supplies and equipment and drafting correspondence
- Issues and audits accountable documents and reconciles Purchase Card transactions
- Manages departmental budget-related activities, reconciling and/or ensuring budgetary compliance
- Coordinates and leads volunteers to execute all Team meetings and functions
- Must be able to meet any physical ability requirements listed on this description
- Provides friendly services to and maintains positive relationships with all Internal and External Customers
- Lists employees on Must-ride flights in Altea Reservation System
- Provides support for required Employee Uniforms through contracted provider
- Updates databases, organize files and records, draft and proof correspondence, reports, presentations and other documents
- Provides support for all SWA badging – receive and distribute, resolves clocking issues and entry point issues, reconciling SWA monthly badge report
Required Education & Experience:
- Required: 2 Years – Business office or administrative experience
- Must function as a team player
- Ability to use a computer and other office productivity tools with sufficient speed and accuracy to meet the demands of the job
- Must be able to perform concurrent tasks and be able to execute assignment with multiple interruptions and shifts in priorities
- Must be able to read documents, follow instructions, learn and understand office procedures
- Preferred: Airline industry experience
- Must be able to operate multiline telephone with courtesy and sufficient speed
- Ability to communicate and interact with others in the English language to meet the demands of the job
- Required: High School Diploma or GED
- Must be able to perform mathematical computations
- Must demonstrate an extremely high regard for confidential and sensitive information
- Must be able to communicate effectively, both oral and written
- Excellent attention to detail and ability to function well with minimal supervision and/or assistance
- Must be proficient in all Microsoft Office programs and other department specific software packages
- Preferred: Some college coursework
- Ability to perform work duties from [limited space work station/desk/office area] for extended periods of time
- Ability to use a computer keyboard with sufficient speed and accuracy to meet the demands of the job
- Must possess excellent organizational skills
